How to Follow Up with Leads So They Actually Call Back

More jobs are lost to slow follow-up than to bad pricing. A lead who reaches out and doesn’t hear back within an hour or two has usually already moved on to the next name on their list by the time you call the next morning.

What actually improves callback rates:

  • Speed matters more than almost anything else. Studies on lead response time consistently show the odds of a lead converting drop dramatically after the first hour, and keep dropping the longer it takes. Even a quick “got your message, I’ll call you by [time]” text beats silence.
  • Text first, call second. A lot of homeowners screen unknown numbers but will respond to a text almost immediately. A short text confirming you received their inquiry, followed by a call, tends to outperform a cold call alone.
  • Have a simple, repeatable follow-up sequence. Something like: immediate text → call within the hour → follow-up text if no answer → one more check-in two days later. Most leads who go cold do so because the follow-up simply stopped, not because they weren’t interested.
  • Make the next step obvious. Give them a specific time you can come look at the job, not a vague “let me know when works.” Specific options get answered faster than open-ended questions.
